CW Late Time Entry Analysis Application is a package of bots and widgets powering up reports relating to Late Time Entry so that you can easily monitor your time entry metrics by company or individual level and how to act on when issues arise.

Why are "late time entries" a problem for MSPs?

Late time entry happens when an employee finishes a job but doesn't add the time entry right before he finishes the task.

Here are a couple of problems that could happen when employees add their time entries too late:

  1. When the employee waits too long to log his time entry, he forgets about its details, affecting the accuracy of the time entry such as: what happened, when it happened, and how long it took to complete. Since some of the very important KPIs like utilization and agreement profitability heavily rely on an accurate time entry, the accuracy of those KPIs will be affected too.
  2. If the clients or other employees need to figure out what happened to certain tickets, and the employee who did the job didn't put time entry at the correct time, it will be difficult for the clients and other employees to understand the history of what happened and what needs to be done next.

How bad is your MSP doing with late time entries?

Please review the report hereplease change the following settings here:

  1. CW Late time Entry Setting
    Select the users that should be excluded from the late time entry report, they will not be showing up in the late time entry report.

You can find out via these two reports:

  1. ConnectWise Late Time Entry Report - Company
    This report is an analysis of the overall late time entry for the company.
  2. ConnectWise Late Time Entry Report - User
    This report is a detailed analysis of late time entry issues per employee.

How to use bots to help you solve this issue?

We have three bots developed for this purpose:

  1. ConnectWise Late Time Entry Alert Bot
    Alerts users whenever they log a time entry that is after their scheduled ticket end day and time.
  2. ConnectWise Late Time Entry Ranking praising Bot
    Send to the service channel to praise the top 3 best technicians every Monday
  3. Weekly Admin Late Time Entry Reporting Bot
    Receive an email every Monday about your MSP ranking of the issue.

Setting Tab

The settings page is where the account administrators can configure the report to

  • Exclude specific users that are not required to have time entries
  • Set the number of minutes past the ticket's scheduled end time that is considered late

Exclude Users

To exclude time entries of specific users, click the Exclude member drop-down menu and select the users that you want to exclude from the late time entry reports. After selecting the users you want to be excluded, don't forget to click the Submit button.

Set Late Time Entry Threshold

By default, any time entries past the ticket due date and time are considered late. The account administrator can update how many minutes is considered late by changing the value on the How many minutes past ticket schedule end time is late? field.

Common Reasons that Techs are bad at Late time entry

  1. I didn't know that it is required.

    1. Solution: Please make sure the technician is reading the messages, if the data "Read" in the last 7 days is "0", that means they didn't know what happened.
  2. I don't understand the message and don't know what to do.

    1. Go through the training
  3. I am too busy.

    1. If it is not in the ConnectWise, it didn't happen. Writing the time entry is part of the job, finish one-time entry then move to the next task.
  4. I am not allowed to do it onsite.

    1. Set expectations with your client that it is a part of your job to log time entries right after you finished a task. It would benefit them as well when the details and the time billed to them are accurate.
